Carve Group Limited (“Carve”, “we”, “us” or “our”) is committed to protecting the privacy of people who apply to work with us.

This notice explains how we collect, use, store and share personal information during our recruitment process. It applies to applicants for employed, freelance, associate and contractor roles.

Information we collect

During the recruitment process, we may collect:

  • Your name and contact details

  • Your location and eligibility to work in the relevant country

  • Your CV, LinkedIn profile and employment history

  • Information about your qualifications, skills and experience

  • Your answers to application and screening questions

  • Salary expectations, availability and notice period

  • Interview notes, assessment results and communications with you

  • References and information provided by referees

  • Information you voluntarily provide about adjustments needed during the recruitment process

  • Information relating to the outcome of your application

Please do not provide sensitive or special-category personal information unless we specifically request it or it is necessary for us to make reasonable adjustments.

How we collect your information

We collect information:

  • Directly from you through our application form, emails, interviews and assessments

  • From your CV and publicly available professional profiles, such as LinkedIn

  • From recruitment platforms through which you apply

  • From referees you nominate

  • From recruitment agencies, where applicable

If you provide information about another person, such as a referee, you should ensure they are aware that you have shared their details with us.

How we use your information

We use your personal information to:

  • Receive and administer your application

  • Assess your suitability for the role

  • Check that you meet essential role requirements

  • Communicate with you about your application

  • Arrange and conduct interviews or assessments

  • Compare candidates and make recruitment decisions

  • Verify information and obtain references where appropriate

  • Make an offer and prepare an employment or contractor agreement

  • Make reasonable adjustments during the recruitment process

  • Meet our legal, regulatory and record-keeping obligations

  • Establish, exercise or defend legal claims

  • Review and improve our recruitment process using aggregated or anonymised information

We will not add you to our marketing mailing list because you have applied for a role.

Our lawful bases

We process your personal information where it is necessary:

  • To take steps at your request before potentially entering into an employment, freelance or contractor agreement

  • For our legitimate interests in managing recruitment, assessing candidates and protecting our business

  • To comply with legal obligations

  • To establish, exercise or defend legal claims

Where we need to process health or other special-category information—for example, to make reasonable adjustments—we will only do so where permitted by data protection and employment law.

If we would like to retain your information to consider you for future opportunities beyond our normal recruitment-retention period, we will ask for your separate consent. You may withdraw that consent at any time.

Recruitment decisions

We may use application-form logic to help organise applications based on candidates’ answers to objective questions. However, final decisions about whether to progress or reject an application are made by a person and are not based solely on automated processing.

Who we share your information with

Your information may be accessed by people involved in the recruitment process and by service providers that help us manage it, including:

  • Typeform, which hosts our application form

  • Google Workspace, which we use to store and manage application information

  • LinkedIn and other recruitment platforms through which the role is advertised

  • Professional advisers or recruitment providers where necessary

  • Referees, where we contact them with your knowledge

  • Government, regulatory or law-enforcement bodies where legally required

We require service providers to protect your information and only process it for authorised purposes.

International transfers

Some of our service providers may process information outside the United Kingdom. Where this happens, we take steps to ensure that appropriate legal safeguards are in place, such as UK adequacy regulations or approved contractual protections.

How long we keep your information

If your application is unsuccessful, we will normally retain your recruitment information for six months after the recruitment process ends. We may retain limited information for longer where reasonably necessary to establish, exercise or defend legal claims.

If you agree to be considered for future opportunities, we may retain your application for up to 12 months, after which we will delete it or ask whether you would like us to retain it for longer.

If your application is successful, relevant recruitment information will become part of your employment or contractor record and will be retained in accordance with our applicable retention practices and legal obligations.

When information is no longer required, we will securely delete or anonymise it.

Security

We take reasonable technical and organisational measures to protect recruitment information against loss, unauthorised access, alteration or disclosure. Access is limited to people and service providers who need the information for recruitment purposes.

Your rights

Depending on the circumstances, you may have the right to:

  • Request access to your personal information

  • Ask us to correct inaccurate or incomplete information

  • Ask us to delete your information

  • Ask us to restrict how we process it

  • Object to processing based on legitimate interests

  • Request the transfer of information you provided

  • Withdraw consent where we rely on consent

  • Raise a concern about how we use your information

These rights are not absolute and may be subject to legal exceptions.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, although we would appreciate the opportunity to address your concern first.

Changes to this notice

We may update this notice to reflect changes to our recruitment practices or legal obligations. The latest version will be published on our website with its effective date.
